Executive Assistant (Central/Eastern Europe/Western Balkans/Remote)

Alliance4Europe is looking for an Executive Assistant to support the Lead Researcher and the Managing Directors. As an Executive Assistant, you will work to manage the calendars, coordinate travel and meetings, manage communications, support event organisation, perform administrative tasks, and help prepare presentations. Your support will enable the Lead Researcher and Managing Directors to focus on their key tasks, while ensuring consistent follow-up with external stakeholders.

This role is based in Central/Eastern Europe/Western Balkans/Remote. Start date: 1st September 2026, with some flexibility.

Responsibilities:

  • Managing the Lead Researcher and Managing Directors’ calendar.
  • Coordinate and book travel and meetings for the Lead Researcher and Managing Director.
  • Contribute to preparing PowerPoints and documents ahead of meetings.
  • Manage the mailbox and other external communication of the Lead Researcher and Managing Directors.
  • Manage follow-ups and support building relationships.
  • Manage receipts and financial reporting.

Qualifications:

  • Proven experience as an Executive Assistant or in a similar office support role.
  • Excellent written and verbal English communication skills.
  • Strong knowledge of Google Workspace (Docs, Sheets, Slides).
  • High level of organisation, discretion, and attention to detail.
  • Knowledge of other European languages is a strong plus.

Open-source intelligence researcher focusing on Chinese and Russian influence operations. Sam is the coordinator of the Counter Disinformation Network, a Pan-European network working cross disciplinary to protect European democracies against influence operations.
